Topic: 2014 Awards

With Jason's LOA, I feel like this should be brought up already.... is there anyone here, any member of Phoenix that would like to handle out awards for this past year? Personally I would like them to not be as late as they were last year and I think it would be a great idea to merge some sort of ceremony or something into a mini con for Phoenix. Any takers or ideas or opinions?

Great plan.

I'd volunteer for doing this, but isn't it usually a set committee with the GC and contender etc? Are you asking for someone to chair it instead of you as acting GC, do you mean?

Jason was always in charge of the Awards Committee since its inception and that was before taking on administrative roles on the site. It's the Awards Committee Officer and then 2 other people (volunteers) that decide the awards.  smile

We had voting this previous year. Which I rather prefer. Takes away from the prospect that the committee could show favoritism. I'll look more detailed into and see exactly how it was done last year.

Only thing with voting is it can give room for popularism, when a category might be best won by someone who isn't well known and thus wouldn't win a simple vote, but would win it if a small committee considered them.

I see both sides of this. I will read up on the rules and see what we have there. And I think I'll create a poll to see what the general membership thinks

The vote came out 5 for an Awards Committee and 4 for a vote.

I had an idea the other day about merging the two... Have a brief nomination period by the general membership for the categories, and then turn it over to a committee.

Either way, I would personally like for us to actually have the awards first part of 2015. It would be nice to merge some sort or ceremony with a mini convention.

Can the committee have a brief but clear terms of reference / set of guidelines so that it is transparent as to their role and the procedure?

Ok, Deb....I did find this, and then a discussion here to potentially change the Awards system. I cannot recall why we actually voted last year, can anyone?

I think we kinda came to some conclusions in that discussion? I could draw together those points and amend Jason's guidelines if you like, then we could reassess where we are?

So here's a summary of discussion points to date, followed by the Awards System itself. I am happy to re write the 'policy' incorporating the summarised suggestions, and update it generally to reflect current timescales and practice, if everyone is agreeable:

Summary of suggested amendments/issues :

Players may nominate only 2-3 players per award.
Early start to give plenty of time for discussion if committees are used.
A wide pool of volunteers to sit on 3-4 awards committees so that if players can be allocated to a committee for which they have not been nominated for an award.
Limitations on repeat membership of committees, eg not on consecutive years or more than two years in a row.
Committee discussions to be held using real time forum if possible.
Monthly or ad hoc awards could include player/member of the month, but monthly awards thought to be too frequent to organise reliably.
If criteria for yearly awards was to have won SL awards then this might favour those who play in sims where more SL awards are made.

Here is the "official" copy of the Awards System:

That there be an Awards Committee of three members, appointed by the GC, who will collect nominations from all players for various awards listed below, and the committee would vote on who to award. Committee members must abstain on votes where their names have been nominated and will be replaced on the Committee for that vote by the GC, or in the event the GC is also on the ballot, first any elected official and after any appointed officer that qualifies (ie, they are not on the ballot).
It is understood that SLs have the power to grant ad hoc awards to their players ("Badass Browncoat", "Nerf Herder", "Picard's Favorite Redshirt", etc.) at will, and groups of SLs remain empowered to talk together about area level award, but that at this time, only site level awards are officially recognised.
In addition, an ASL or majority of players in a sim may decide to award the SL for a sim level award (where an SL may not necessarily give themselves such an award).
List of (site level) Awards and how they're decided:
Player of the Month. Issued monthly. Any Phoenix member should be able to nominate a player for this Award. Nominations would be submitted to the Awards Committe by the last day of the month, who would then vote on the nominees and announce the winner by the 10th day of the following month. The Awards Committee would email SLs at the start of each month to invite them to post a note in their sims encouraging players to submit nominations. It is not required for a nominator to state why they feel the nominee worthy of this award, though doing so may assist the Committee in reaching their decision.
Sim of the Year. Issued yearly, in December. Any Phoenix member may nominate a sim for this award in November. Criteria may include objective (i.e. quantitative criteria like number of posters (over the entire year) combined with the number of posts) or subjective (i.e. quality of the sim). It is not required for a nominator to state why they feel the nominee worthy of this award, though doing so may assist the Committee in reaching their decision.
SL of the Year. Issued yearly, in December. Any Phoenix member may nominate a Sim Leader for this award in November. Criteria may include objective (i.e. quantitative criteria like number of actively posting players under the nominated SL over the year) or subjective (i.e. welcoming quality of the sim area). It is not required for a nominator to state why they feel the nominee worthy of this award, though doing so may assist the Committee in reaching their decision.
GM of the Year. Issued yearly, in December. Any Phoenix member may nominate a GM for this award in November. Criteria may include objective (i.e. quantitative criteria like number of posts in the nominated GM's sim) or subjective (i.e. depth of realisation of role-play environment in the GM's sim) or broad criteria like the number of sims consistently successfully GMd by the nominee. It is not required for a nominator to state why they feel the nominee worthy of this award, though doing so may assist the Committee in reaching their decision.
Special GC Award. Issued at most 4 times a year, at any time. This is an award given out by the GC at his or her sole discretion, to recognize special achievements by a member in contributions to Phoenix and its community. Any member can nominate someone for a GC award, or otherwise bring the contribution to the GCs attention, but the GC has final say in distributing such awards.
Badges of Honour and how they're decided:
•    Yearly membership badges (for 1 Year's Membership, 2 Years' Membership, and so on). These will be unique for each year.
•    SL badges (for those who are running/have run a sim; one for each sim).
•    GM badges (for those who are GMing/have GMed a sim; one for each sim).
•    Coordinator and Officer badges (for those who hold/have held an official coordinator/officer position; one for each position).
•    Badges to recognise multiple sim involvement (2, 5, 10, 15, 20, 25, 30 sims played in, etc). Sim involvement is defined as having a character accepted into a sim and at least one in character post.
Each badge will be unique so as to easily be identifiable.
Yearly membership badges will be a star. Multiple stars indicate multiple years.
SLs will be indicated by a horizontal bar. 
GMs will be indicated by a vertical bar.
Appointed officers will have chevrons. 
Active duty elected officials will be a shield:   
Those having held office (but no longer in office) will use a circle or roundel: 
Those who have held office for multiple terms will receive additional bands of circles around the outside of their badge.


Badges will require no vote, but will be awarded when the specific requirements for the badge are reached (as outlined above).

So that is Kevin, Mischa, and Silent for the committee. (Deb were you?)

I like since we are behind, according to the "System", I think we should go ahead and open nominations...for say a 2 week period. An email can be sent out announcing that nominations are open. I would suggest that one of the members, or another 4th person, sit as an overseer...to keep things from stalling. (not saying they will just a precaution)

Also, I would like for us to consider actually implementing this part:

After the awards have been decided we should really look to amending the system.

Change it to Phoenixer of the month, and I'm good with it. I think that people may inadvertently overlook those that are running a campaign more than playing in one.

Definitely something to consider for the adjustments to the system, Brandon.

A revision to my earlier post... Brandon and Deb have also expressed interest in helping with awards, which is awesome and gives more volunteers to help in the event that one member of the committee is nominated! I'm going to keep this open for others  to volunteer if they so wish. I am going to work on appointing a awards officer, and hopefully we can get nominations started as soon as next week!
